Shop reinstatement in Singapore runs to a fixed date. Your lease ends, the mall sets a handover appointment, and your tenancy agreement defines the condition the landlord expects the unit back in. Anything left undone can be deducted from your security deposit or charged back to you.

We have carried out reinstatement works since 2015, including shop reinstatement for retail tenants. This checklist sets out the order the work follows, from the day you give notice to the day your deposit is released. Use it to plan your own handover or to brief the contractor who will do the work. Before the lease ends: read the lease and ask the mall

Most delays start with paperwork. Before anyone quotes, pin down what the landlord expects back.

  • Find the reinstatement clause in your tenancy agreement and note the standard it sets. Some leases ask for a bare shell; others want the landlord's original base finishes kept or restored.
  • Ask the landlord or mall management for its reinstatement schedule or requirements list, and its handover procedure, in writing. Many malls issue their own list of what must be removed and what must stay.
  • Locate the photos, inspection report or approved fit-out drawings from when you took over the unit. They are your evidence of the original condition.
  • Confirm the handover date and book the inspection slot early.
  • Ask whether works need approval before they start, which hours are allowed for noisy work, and what documents the mall needs from your contractor.

Retail reinstatement inside a mall is often limited to hours when shoppers are not around, so these answers shape both the schedule and the price.

Choose a shop reinstatement contractor and fix the scope

A clear scope protects you at inspection and keeps quotes comparable.

  • Book a site visit before accepting any quote. A price given without seeing the unit tends to leave out items hidden in the ceiling, behind signage or under the flooring.
  • Ask for an itemised scope that follows the mall's requirements line by line.
  • Check that the contractor has worked inside malls before and can prepare the documents mall management asks for.
  • Confirm who handles disposal, and that the quote includes it.

The scope sets the price. For a shop, the main cost drivers are:

  • Unit size and how much fit-out needs to come out
  • Shopfront and signage: glass, frames, roller shutters and lightboxes
  • Electrical, data and air-con additions to disconnect and remove
  • Working hours, since night-only or after-hours access costs more than daytime work
  • Hoarding and protection of common areas
  • Disposal volume
  • How close the deadline is

Set up shop hoarding around the unit

Shop hoarding, sometimes called mall hoarding, is the temporary enclosure built across the front of a single unit while works go on inside. It hides the work from shoppers, keeps dust in and stops people walking into the work area. It is small and sits on your own frontage.

  • Ask mall management whether your works need hoarding and what rules apply to it, such as height, material, finish and whether graphics are allowed.
  • Get the design of the hoarding board for the shop front approved before it goes up, if the mall asks for this.
  • Keep the hoarding within your unit line, with its face clean and intact for the whole job.
  • Protect the common-area floor and walls next to the unit and along the route used to move debris out.
  • Take the hoarding down once works are finished and repair any marks it leaves on the floor or bulkhead.

Remove the fit-out, shopfront and signage

This is the bulk of the work in retail shop reinstatement in Singapore. The goal is to take out everything you added and nothing the landlord supplied.

  • Remove signage and branding, including lightboxes and brackets, then fill and patch the fixing holes.
  • Dismantle the shopfront items you installed: glazing, timber or metal frames, and roller shutters with their boxes.
  • Strip display joinery, counters, partitions and any false ceiling you put in.
  • Lift flooring you added, if the lease requires the original floor.
  • Have a Licensed Electrical Worker disconnect and make safe the electrical points you added, and arrange air-con disconnection with a qualified contractor.
  • Ask the mall whether its own appointed contractor must handle fire protection or air-con works, since some buildings restrict who can work on these systems.

On one recent job at a retail unit on Orchard Road, the recorded scope was the storefront: we removed and disposed of the wooden signboards and glass panels, then removed the partition board hidden behind the signage, the timber frames, and the roller shutter and its box. Items like that hidden board are why the site visit matters.

Repair, repaint and clean

Once the fit-out is out, the unit needs to look like the space you took over.

  • Patch and repaint walls to the finish the landlord specifies.
  • Level the floor and clear adhesive residue where flooring came up.
  • Cap and label any services that stay in place.
  • Clean the unit, the shopfront and the common area your works touched.

Inspection and handover to the landlord

The landlord's inspection decides how much of your deposit comes back.

  • Walk the unit yourself against the mall's requirements a few days before the joint inspection.
  • Attend the joint inspection if the landlord schedules one, bring your contractor, and write down every snag the landlord's representative raises.
  • Close the snags within the time given and ask for written acceptance of the unit.
  • Keep dated photos and the signed handover record until your deposit is returned.
